Move Candidates

In the hiring process, moving candidates to the next stage is a critical action that requires careful consideration. Candidates can only be moved to the next stage if they are ready, meaning all necessary actions and evaluations must be completed beforehand. To move candidates, use the corresponding option in the candidate actions menu, available on the Pipeline cards or in the Candidate Details view. It is important to ensure that everything is in order before progressing candidates, as this action is not reversible.

Criteria to Progress Candidates

The option to move candidates will not be available until all important actions have been completed. The Candidate Status Icon provides information on pending and upcoming actions, readiness for progression, or inactivity. A green icon indicates that the candidate is ready to move. However, if voting is allowed, ensure the team has already voted before proceeding.

When there are pending actions, you must complete or let them expire before moving forward. Actions initiated by the hiring team do not expire, while those conducted by candidates or third parties do. For expired actions, you will need to decide whether to grant the candidate extra time, proceed without the action being completed, or reject the candidate. Use the available actions depending on the scenario, but candidates cannot be moved to the next stage until all pending actions are resolved.

Common Actions to Complete by Stage

Phone Screen, Interviews, and Onsite Assessments

  • Appointment arranged (by candidates or the hiring team)
  • Phone call, video, or personal interview conducted
  • Evaluations completed by the hiring team

Notes: Appointment arrangement actions depend on settings. The system infers that interviews were conducted if they were not canceled and the appointment time has passed.

Interview Questionnaire

  • Email with questionnaire link sent
  • Candidate submitted the Interview Questionnaire
  • References completed the Reference Questionnaire
  • Evaluation completed by the hiring team

Online Assessment

  • Email with assessment link sent
  • Candidate completed all assessment tests
  • All open questions graded
  • Final score assigned by the hiring team (if applicable)

Notes: Open and coding question reviews are not mandatory, but they are advised. These reviews provide insights into a candidate's problem-solving approach and creativity. They help ensure that candidates not only arrive at correct answers but also demonstrate a clear understanding of their methodologies, enhancing the overall quality of the hiring decision.

Applied

  • Final score assigned by the hiring team (if applicable)

Offer

  • Sending an offer letter email with a link to the decision form is not mandatory, but if sent, waiting for the response is a pending action.

Although Zamdit prevents moving candidates with pending actions, it’s essential to manually check the following criteria even when there are no pending actions:

  • Review of Application Materials: Confirm that all application materials, such as resumes and cover letters, have been thoroughly reviewed.
  • Interviews and Feedback: Ensure all interviews have been conducted and feedback collected from interviewers.
  • Satisfactory Scores: Verify that candidates have achieved satisfactory scores in assessments or evaluations that are prerequisites for progression.
  • Team Consensus: Ensure agreement among the hiring team regarding the candidate's readiness to advance.

Communicate to Candidates

Zamdit does not automatically send emails to candidates notifying them of their movement to a new stage. However, depending on the pipeline configuration, automated emails may be sent when moving candidates to certain stages (e.g., sending a link to a questionnaire or assessment), which implicitly informs candidates of their progression.

To determine if Zamdit will send an automated email when moving a candidate to the next stage, check the column heading for the next stage to see if the email icon is present . Hover over the icon for additional details.

Best Practices for Custom Emails

If you decide to manually notify candidates about their progression to the next stage, consider the following best practices:

  • Be Clear and Direct: Use straightforward language to inform candidates of their status and next steps.
  • Timeliness: Notify candidates promptly after a decision is made to keep them informed and engaged.
  • Positive Reinforcement: Acknowledge their achievement and express enthusiasm about their progression.
  • Provide Next Steps: Clearly outline what candidates can expect in the upcoming stage, including timelines and any required actions.
  • Encourage Questions: Invite candidates to reach out with any inquiries about their progression, providing clear contact information for follow-up.
  • Maintain a Personal Touch: Use the candidate's name and personalize messages to create a connection and enhance their experience.

By following these best practices, you can ensure that candidates feel valued and informed as they navigate the hiring process.
